“Welcome Bags” Reimagined for Virtual Events

There's no argument that the live meetings and events industry has been turned on its head in 2020. Spacious venues, convention centers, and even boardrooms have been replaced with small frames on our laptop screens or desktop monitors. And nearly every kind of meeting, conference, and project kickoff has gone virtual.

How Can We Engage Virtual Attendees?

Despite the limitations of virtual meetings, we continue to find tools to stay connected with clients and partners to keep our businesses moving forward.

The pivot to virtual events has posed its share of challenges; it has also unearthed new opportunities for unique solutions to those challenges. Maria Nyholm, Sales Support & Events Manager for Geistlich Biomaterials was hosting a meeting for her Sales & Marketing team. She needed a cohesive way to welcome her attendees, whether they were joining remotely or on-site.

What if Welcome Bags Became Virtual?

Having been referred to Crêpes á Latte's #BetterTogether Boxes by a previous client, Maria reached out in hopes that we could help her find a solution that aligned with her meeting goals and company culture. Through our collaborative efforts, we decided on a custom-tailored version of our Recharge. Refresh. Refuel. Box. Upon submitting their digital RSVPs to the meeting, all 52 attendees were automatically registered to receive a "Swag Box." Each package contained an assortment of healthy treats with blue packaging that represented Geistlich's brand colors. Inside, recipients also found Crêpes á Latte's original dark roast coffee, a special note from Geistlich's meeting hosts, and the book 168 Hours: You Have More Time To Think. The order was received and shipped directly to attendees within 48 hours, one of our fastest turnaround times for a custom order.

How Can We All Pivot to Virtual Events?

For every challenge, there is a solution. Sometimes it takes a bit more time and creativity to find it, but it's there. In this case, Crêpes á Latte found a solution by taking a registration tool that already existed in a traditional setting (swag bag) and reimagined it to make sense in a virtual world. We created a virtual experience that elicits the feelings of curiosity and anticipation that an attendee experiences when they are handed one in person. While our computer screens can't recreate the full range of experiences that come from face-to-face meetings (yet), at least we can still offer attendees an interactive "swag" experience, even if it comes in a box instead of a bag.
